During an accounting platform migration from a legacy system like QuickBooks to a cloud-based ERP like Sage Intacct, the standard approach to data migration is to make sure it’s completed before your Go-Live date in the new system.
Because of the severe financial, legal, and reputational consequences that can result from a delayed Go-Live, implementation teams often encourage companies to only migrate limited trial balance data along with their Open Accounts Payable (AP) and Open Accounts Receivable (AR) transactions from the legacy system.

While our processes enable us to complete migrations much faster than in-house finance teams, we also know the risks that come with rushing to complete a historical data migration by an arbitrary deadline. It can lead to careless or strategic errors that end up either delaying the Go-Live or causing months of headaches from identifying and correcting erroneous data after the Go-Live.
That’s why we developed a process that allows us to divide accounting data migrations into two phases. One phase moves all the data you need to continue operating your business in the new system as well as fulfill your reporting commitments by an agreed upon date on or around your Go-Live deadline. For many companies, this includes all of your Open AP and Open AR (and if you’re a construction company, it also includes things like Open Contracts, Open Commitments, Open AP and AR retainage), a cutover opening Trial Balance (if desired), and all the Master Data that supports your initial business operational and immediate reporting functions.
The second phase moves the rest of your historical transactions into your target system, and it’s designed mathematically to be able to happen at any time, because our process carves up your data in a way that it prevents the introduction of duplicates, regardless of when or in what order we load each swathe of data.
Go-Live Options in a GL Detail Migration

Most VARs include some version of Open AP/AR migration in their implementation scope. If that’s the case for you, we can focus on your historical data only. However, we’ve also had many clients ask us to take on the migration of their Open AP/AR transactions, which lets them repurpose their VAR’s support hours to more training after Go-Live.
Go-Live Preparation for a Subledger Migration
We offer less flexibility for projects with The Simplified Subledger Conversion Process™ scope (our Subledger Rebuild solution) because they are more complex, and the potential for error compounds when multiple vendors are involved in moving your data. We generally only take on a subledger migration if we’re responsible for migrating both the historical transactions and the Open AP/AR transactions.
By the agreed-upon date on or around your Go-Live, we will:
- Migrate all of your Open AP/AR transactions (and more for construction scopes)
- Migrate all the Master Data tied to those open transactions
- Create workarounds for any other critical reports tied to your funding or commitments
